Job Description

The Reservations Coordinator is responsible for providing the first point of contact to guests and creating an excellent first impression for the guests of the Oxford Collection of hotels while maintaining sanitation and cleanliness standards.

ESSENTIAL DUTIES & RESPONSIBILITIES: All duties and responsibilities of this position are to be performed with exceptional caring and genuine guest service upholding the Oxford Collection of hotels standards and culture at all times.

Telephone Guest Services (60%): Primary contact for all telephone reservations. Answers all incoming calls with guest inquiries. Provides general hotel information to guests. Makes, confirms and cancels reservations, usually over telephone, fax or other reservation system. Use yield management polices to maximize revenue and occupancy. Attend and is involved in monthly front desk meetings. Work closely with sales department to implement strategies to maximize room revenue. Processes reservations from the sales office as needed. May assist front desk during high demand times. Ensures the work area remains organized while maintaining sanitation and cleanliness standards at all times. Knows the type of rooms available as well as their location and layout. Knows the selling status, rates, and benefits of all packages plans. Knows the credit policy of the hotel and how to code each reservation. Creates and maintains reservation records by date of arrival and alphabetical listing. Prepares letters of confirmation. Updates availability in computer system as needed.
Perform all tasks in compliance with federal, state, local, food safety and sanitation requirements and Oxford Collection of hotels safety standards and security procedures. Be knowledgeable about and able to respond to emergency situations. Report any maintenance repairs needed immediately to their supervisor or General Manager.

Administration (30%): Must be aware of inventory of rooms at all times. Manages reservation employees schedule and time cards. Solicit guest feedback regarding hotel services and facilities and taking corrective action to solve deficiencies. Be aware of the status of the availability of rooms at the hotel on any given day to ensure maximum revenues each day. Update availability information with Reservations system as required. Assist in evaluating the performance of all reservation employees.

Other (10%): Communicate effectively with all hotel staff to ensure smooth delivery of services. Works with front desk staff to ensure that the hotel meets cleanliness and sanitation standards. Obtain sales leads for the sales department. Coordinate with front desk, maintenance staff, Food and Beverage Manager and General Manager on things requiring attention. Other duties as assigned.

EDUCATION & EXPERIENCE
High School Diploma or GED preferred
Three years guest services/concierge experience preferred
Experience with Microsoft Office products
Hospitality Experience preferred

JOB REQUIREMENTS
Proof of eligibility to work in the United States
Reliable transportation to and from work
Ability to work a flexible schedule including evening, weekends and holidays
Regular and reliable attendance

PHYSICAL REQUIREMENTS
Must be able to stand on feet throughout the day;
Must be able to perform simple grasping, fine manipulation, and repetitive hand and arm movements frequently
Must be able to bend, squat, crawl, kneel, push, pull, and walk on uneven surfaces on an occasional basis
While primarily an indoor job, must be able to walk outside in a variety of weather conditions (rain, wind, snow, heat)
Must be able to climb stairs both inside and outside and frequently lift 20 lbs. and occasionally up to 50 lbs.
